Whether you are HR, a founder paying your first hire, or an employee checking a loan application, this checklist is the standard.

Employer block

  • Legal employer name
  • Employer TIN (where available)
  • Payroll contact or department (optional but helpful)

Employee block

  • Full name (matching bank KYC)
  • Employee ID or staff number
  • Job title or department
  • Employee TIN (where collected)
  • Pension RSA PIN (where applicable)

Pay timing

  • Pay period (e.g. 1-31 August 2026)
  • Payment date (value date to bank)
  • Payment method (bank transfer is standard)

Earnings section

List each earning type separately:

  • Basic salary
  • Housing allowance
  • Transport allowance
  • Other allowances (label them clearly)
  • Overtime, commission, or bonus (if paid this period)

Total gross should be obvious.

Deductions section

Each deduction on its own line:

Employer contributions (best practice)

Showing employer pension (10%) on the slip is not always mandatory but builds trust. Staff see the full compensation picture.

Year-to-date (YTD)

Helpful fields:

  • YTD gross
  • YTD PAYE
  • YTD pension (employee)

Makes tax season and loan applications easier.

What should NOT be on a payslip

  • Internal plumbing (database IDs, webhook refs)
  • Confusing lump sums without labels
  • Deductions the employee never agreed to or law does not require

Digital vs paper

Digital payslips are fine if:

  • Delivered consistently each pay cycle
  • Archived where employees can retrieve them
  • Match the actual bank payment

Audit and loan readiness

Banks and embassies often want three to six months of consecutive slips matching bank credits. Missing months raise questions faster than small deduction differences.
