Is Staff Pay only for businesses or can households pay domestic staff in Nigeria?

Staff Pay helps businesses, households, and individuals automate bank payments: payroll, bills, gifts, schedules, Quick Transfers, and payouts. Use it for payroll, bills, gifts, household allowances, and other lawful recurring payments. Typical uses include employer payroll, team payouts, household or family allowances, domestic help, and other recurring bank transfers, as long as they are lawful and comply with our Terms.

Can you run Staff Pay for me if I don't want to use the dashboard?

Why does Staff Pay ask for identity verification (KYC)?

We collect verification details to meet regulatory expectations, reduce fraud, and unlock funding and payouts. Nigeria-based accounts typically verify a phone number (SMS or WhatsApp code), BVN, and NIN (with a selfie match) where required. You may also use passport, voter's card, driver's license, or CAC registration for businesses. International users may see a passport or global company check path. Complete everything under Dashboard → Compliance and follow the on-screen steps.

Can I run more than one company or brand on one account?

Yes. Use Dashboard → Companies to create and manage separate company records (each with its own details, payslip branding, and invitations). Attach beneficiaries, payouts, and bill activity to the right company so one login can cover every entity you operate.

How do I open a support ticket?

Signed-in users should go to Dashboard → Support, create a ticket, and reply in the same thread so nothing gets lost. For general enquiries without an account, or if you prefer email, use the Contact page on the public website. Include screenshots or transaction references when reporting a payment issue so we can investigate faster.

How much does Staff Pay payroll software cost in Nigeria?

Accepted Answer

The standard service fee is 1.5% (minimum ₦1,500) on deposits when you fund your account. Some accounts see a fee perk in Wallet; the standard minimum fee still applies. There are no monthly subscriptions, no setup fees, and no hidden charges. This service fee covers payment processing and any transfer fees we incur when crediting beneficiaries.

When do I get charged?

Accepted Answer

The service fee is applied when you deposit funds into your account. The net amount (after the fee) is credited to your balance. Always check the breakdown in Wallet before you pay.

Question 12

Is there a minimum amount for virtual account (bank transfer) deposits?

Accepted Answer

No. You can send any amount to your dedicated virtual account (NUBAN). The same deposit service fee applies: standard rate 1.5%, minimum ₦1,500, with any account perk applied only above that minimum. For very small transfers, the fee can equal the full amount, so nothing may be added to your wallet for that transfer; larger transfers credit the remainder after fees. Card and some other deposit flows may still show a higher minimum in the app.

What payment methods does Staff Pay support in Nigeria?

Fund your wallet by bank transfer to your dedicated virtual account number, by card, or via a linked bank account (Direct Debit) where available. Outbound salary and payroll payments go to all major Nigerian bank accounts instantly through our banking partners.

How do I fund my Staff Pay wallet?

Accepted Answer

Open Dashboard → Wallet. Most users fund via a dedicated virtual account (NUBAN). You can create a Paystack account number, a Flutterwave one, or both; transfers to either credit the same wallet. You need a verified phone number in Settings before those accounts can be created. For card, bank transfer, and similar checkout, you can continue with Paystack or Flutterwave. The deposit flow shows the exact service fee for your account and what will credit to your balance, with any minimum amount shown before you pay.

Can I withdraw money from my Staff Pay balance?

Accepted Answer

Yes. When withdrawals are enabled for your account, use the withdrawal flow in Dashboard → Wallet to send money to a bank account you control. The product enforces a minimum withdrawal of ₦1,000 per request. Settlement timing follows normal Paystack transfer processing.

Question 17

Is the platform fee charged again every time I pay staff?

Accepted Answer

The Staff Pay service fee applies when money is deposited into your wallet (for example via virtual account or card top-up). The standard rate is 1.5% (minimum ₦1,500); if a perk is active on your account, Wallet shows the fee before you pay, with the standard minimum still applied. Paying beneficiaries or bills spends your already-funded balance; you are not charged that same platform fee again on each outbound transfer.

How does the refer-and-earn program work?

Share your referral link from Dashboard → Wallet. When friends sign up and fund their account, you earn 50% of the fee charged on their first top-ups. Track earned, pending, and settling rewards in the same Wallet area.

Is my data secure?

Yes. We use bank-grade encryption (256-bit SSL) to protect data in transit and at rest. Our infrastructure is regularly audited and follows strong security practices.

Who can see my payroll information?

Accepted Answer

Only you and authorized members of your team can access your payroll data. We never share your information with third parties without your explicit consent.

What happens if there's a security breach?

We have comprehensive security monitoring and incident response procedures. In the unlikely event of a breach, we will notify affected users promptly and take all necessary steps to secure accounts.

Do you comply with Nigerian data protection laws?

Yes. We comply with the Nigeria Data Protection Regulation (NDPR) and relevant financial regulations. Your data is stored securely within Nigeria.

Can I add two-factor authentication (2FA) to my login?

Yes. In Dashboard → Settings you can enable authenticator-based (TOTP) 2FA so sensitive sign-ins require your password plus a code from an app like Google Authenticator or Authy. We recommend turning it on for any account that moves money.

Can I sign out of all devices at once?

Yes. In Dashboard → Settings use Sign out everywhere to end every active session. Useful if you switch computers or want to revoke access quickly.

How do I schedule recurring salary payments in Nigeria?

Accepted Answer

Open Dashboard → Automations to set up recurring payouts per beneficiary (daily, weekly, or monthly). The same tools cover payroll, gifts, and other legitimate recurring bank payments. You can pause or edit schedules when plans change.

What are Quick Transfers?

Accepted Answer

Quick Transfers let you send one-off payments to one or more people at once. Choose saved beneficiaries with verified bank details, or pay someone new by verifying their account for that transfer only. Set a default amount or enter a custom amount per person. A summary shows each recipient, the ₦100 fee per person, and your total debit before you send. Useful for bonuses, urgent payouts, or transfers outside your regular payroll schedule.

Can I import payroll from a spreadsheet or photo?

Yes. Upload a paysheet from CSV, Excel, JSON, or a photo of a spreadsheet or handwritten list on Dashboard → Imports (or send the file to Staffy in chat). Staff Pay reads names and amounts even without column headers, matches saved beneficiaries, confirms close name matches with one tap, and picks the right payroll when someone has more than one. Fix a misread name or amount inline, then review on the Imports page or confirm in Staffy before you apply.

How do I add or remove beneficiaries?

Add people from Dashboard → Beneficiaries, bulk-upload up to 1,000 at once from CSV or JSON, or invite them to register so you approve them into the right company. You can remove beneficiaries when needed; their payment history is preserved where the product retains records.

Can I invite team members with different access levels?

Accepted Answer

Yes. Dashboard → Team lets you invite accountants, operations staff, or other helpers with their own role and permissions (for example who can approve paysheets or run payouts). Each person signs in with their own account.

Can I generate payroll and activity reports?

Accepted Answer

Yes. Dashboard → Reports is a reporting center with charts for payroll, cash flow, and activity. Generate payroll reports for any period and export to PDF or Excel. Filtered CSV exports are available for accounting and reconciliation.

Is there a Staff Pay mobile app for payroll in Nigeria?

Use Staff Pay in your mobile or desktop browser today; the dashboard is fully responsive. Native iOS and Android apps are in active development and are not on app stores yet. We will announce availability when they are ready. Until then, the web app is the supported way to use Staff Pay.

Question 32

Can I pay airtime, data, electricity, cable TV, or other bills through Staff Pay?

Yes, when Bills is enabled for your account. Open Dashboard → Bills to browse billers, validate a customer or meter number, and pay from your Staff Pay wallet. Categories include airtime, mobile data, electricity, cable TV, water, broadband, and other services shown in the live catalog (availability depends on third-party networks). Save a biller as a profile to pay again faster.

Can I automate recurring bill payments?

Yes. After you save bill profiles, create bill schedules so repeat purchases run on a calendar you set (similar to recurring payroll). Each run needs enough wallet balance and working provider connectivity. You can pause, edit, or retry failed batches from the Bills area.

What is auto-charge when my balance is low?

Accepted Answer

In Dashboard → Settings → Payment Settings you can turn on auto-charge when low. First add and verify a card or a Paystack Direct Debit mandate under Dashboard → Wallet. When the toggle is on, Staff Pay can charge that funding source if your balance is not enough for the next scheduled payment. You can also set a low-balance threshold and optional email alerts so you are warned before a run fails.

Question 35

What should I do if a payout, gift, or bill batch fails?

Accepted Answer

Open the relevant item in Dashboard → Automations or Bills and inspect the batch or transaction list; failures usually show a reason such as insufficient funds or a provider error. Fund your wallet or fix the underlying issue, then use Retry batch or per-item retry where the UI offers it. If something looks wrong after that, open a support ticket from Dashboard → Support with the batch or transaction ID.

Is there a free payslip generator for Nigeria?

Yes. The public Payslip Generator at /payslip-generator on this site lets you build printable payslip-style documents (PDF, CSV, or PNG) for proof of income, visa applications, HR files, or personal records. It is separate from automated payroll on the main product; when you are ready to run real payroll through Staff Pay, use the full dashboard.

Is there a free Nigeria Tax Calculator for take-home pay?

Accepted Answer

Yes. The free Staff Pay Tax Calculator at /tax-calculator estimates employee PAYE, pension, NHF, and monthly net pay from your salary and assumptions. No signup is required. Download your estimate PDF anytime, or optionally email a copy. You can also share a privacy-safe link or send reviewed amounts to the free payslip generator. Figures are estimates only, not tax filing or remittance advice.

Can I publish branded payslips for my staff?

Accepted Answer

Yes. After a payroll run, publish formal payslips from Dashboard → Payslips. Set up a company payslip profile (legal name, logo, signature, tax ID, and brand colour) so every payslip carries your company look. Staff can view them in their portal; you can also download PDF, CSV, or PNG and email copies.

Can beneficiaries complete part of their setup through an invite?

Accepted Answer

Yes. Besides adding people yourself or importing a file, use company invite flows so someone registers, submits their details, and you approve them into the right company. That reduces back-and-forth for account numbers and keeps everything inside Staff Pay.

What is Identity Book?

Accepted Answer

Identity Book (Dashboard → Compliance) is where you look anyone up before you add or pay them: candidates, vendors, suppliers, landlords, or household help. Every person and company gets their own file with a history of checks and results. You can run checks yourself or send a secure hiring link so they verify their own identity.

Question 41

Can I verify a beneficiary's identity with NIN, BVN, or Passport?

Accepted Answer

Yes, after the person is saved. Open Dashboard → Beneficiaries, then Identity verification or Identity Book. You can run a NIN, BVN, or Passport check yourself, or email them a secure link. Each check is optional and is charged from your wallet (from ₦400). You need business verification (Dashboard → Compliance), at least ₦10,000 in total deposits, and ₦1,000 in your balance for each check. If a check costs more than your remaining balance, it can still run and the extra is taken from your wallet. If the name from the check differs from the profile, review it and approve or try again.

Question 42

Can I verify a company or vendor with CAC?

Accepted Answer

Yes. From Identity Book you can verify a company or vendor with their CAC details (RC number and company type) before you work with or pay them. Results are saved in that company's file alongside person checks.

Question 43

Does Staff Pay estimate PAYE, pension, and NHF?

Accepted Answer

Yes, as optional planning figures for Nigerian payroll. On a beneficiary you can add state of residence (PAYE follows where they live), Basic / Housing / Transport, and previous-employer year-to-date amounts for mid-year joiners. On a company, turn on tax and pension estimates in the payslip settings (default 2026 reform; legacy PITA only for historical periods). Payslips include a Nigeria estimate panel. Figures are estimates; review with your adviser before remittance or filing.

What is Tax Lab?

Tax Lab (beta) in Dashboard → Tax Lab surfaces statutory deadlines, what you may owe, PAYE schedules aligned with the LIRS eTax portal, and proof of payment uploads. It is still being tested; treat all figures as guidance and confirm with your tax office or accountant before filing or paying.

How do notification emails and in-app alerts work?

Owners can turn payment reminders and payment confirmations on or off in Dashboard → Settings, and set low-balance alerts under Payment Settings. Staff can choose in-app and email for each event (work logs, payment requests, payslips, and similar). Staffy can update these after you confirm. Use fewer email alerts if your inbox is noisy; in-app alerts still appear in the dashboard.

Can I replay the product tour?

Yes. After signup, Onboarding walks you through setup (including business type and role). On dashboard pages you can tap Tour to replay the guide. In chat, ask Staffy to reset or retake the product tour.

Question 47

What can my staff see in their portal?

Accepted Answer

Invited staff get a linked workspace for each employer. They can view published payslips, pay history and receipts, work logs, payment requests, and employer reports when you allow it. They cannot change their own bank details; if those change, they ask you and you update the record.

Can staff request payment for work or expenses?

Accepted Answer

Yes. Staff can submit payment requests from their portal. You review and approve or decline from Dashboard → Reviews, then pay through your normal payout flows.

Can staff log hours or clock in?

Accepted Answer

Yes, when you turn it on. Staff can record work logs for your review. Where enabled, clock-in and clock-out is available, including location-based (geo) clock-in for worksites.

Question 50

What is Staffy and where can I use it?

Accepted Answer

Staffy is Staff Pay's assistant. On the web dashboard it can check your balance, fund your wallet, pause automations, pay a bill, walk you through a Quick Transfer, or help with paysheet imports. Ask spending questions in plain language (for example total payroll this month or wallet outflows on bills). After you link your account, Staffy also works on WhatsApp and Telegram for confirmed actions and answers from your records.

What kind of support do you offer?

Signed-in users can open tickets in Dashboard → Support. Anyone can email hello@staffpay.ng or use the Contact page. Staffy can answer common product questions on the web app and linked chat channels. For payment issues, include transaction references so we can investigate quickly.

Yes. Free onboarding guidance is built into the product tour, FAQ, and Staffy. Our team can also arrange custom walkthroughs for your business on request.

What if I need help with a payment issue?

Contact support right away with the batch or transaction ID, amount, and date. Open Dashboard → Support if you are signed in, or email hello@staffpay.ng. We investigate payment issues as a priority and will update you on progress.

Can I cancel my account anytime?

Accepted Answer

Yes. You can close your account at any time from Settings. There are no cancellation fees. Export your transaction history from Reports or Wallet before you go if you need records for accounting.
